Description:

Responsibilities of the Senior Executive Assistant include:

  • Provides executive administrative support to the Vice President and other HR leaders

  • Maintains the calendars of the Vice President and other department leaders; schedules meetings and arranges for all related logistics including meeting set-up, agendas and meeting materials

  • Provides assistance such as research, analysis and documentation for special projects or annual HR initiatives requiring attention to detail and timeliness

  • Prepares written communication in the form of memos, proposals and presentations using Microsoft Office products

  • Provides proofreading and grammatical expertise for various executive reports, spreadsheets, letters and other documents

  • Answers calls to the Vice President and other HR staff when they are not available and takes accurate messages or handles the actions to fulfill the caller’s request

  • Handles all administrative responsibilities within established time frames; able to prioritize and effectively manage the workload of the administrative support staff

  • Coordinates all aspects of Officer-sponsored training sessions or other events such as notifications, registrations, agendas, materials, post-event surveys, etc.

  • Handles confidential contract management for the department and review and payment of invoices

  • Oversees the completion of employment verifications and other employment documents, assuring timely and accurate responses

  • Oversees ordering of supplies and ensures adequate stock is available at all times; handles copier and fax maintenance and service requests

  • Creates and maintains a filing system; ensures compliance with record retention guidelines

  • Supervises HR administrative support staff; assigns and monitors work ensuring accuracy and timeliness

  • Manages the performance of administrative staff including the completion of annual performance evaluations, regular coaching and feedback and ensuring appropriate development opportunities are undertaken

  • Ensures appropriate administrative and HR reception area coverage to maintain proper greeting of visitors as well as telephone coverage

Requirements:

Requirements:

  • High School diploma (degree a plus!)
  • Certifications in administrative support, Microsoft Office products, or other similar programs a plus
  • 5+ years of experience supporting executive-level leaders
  • 2+ years of supervisory experience
  • Knowledge and understanding of HR disciplines having worked in an HR department is highly desirable
  • Maintains the highest degree of confidentiality
  • Understands the business and internal navigation
  • Advanced skills in Word, Excel and PowerPoint, including the ability to create detailed charts, graphs and pivot tables; working knowledge of Visio a plus
  • Possesses analytical skills and capabilities
  • Demonstrates excellent customer service skills – polite, professional demeanor, timely intake of calls, takes accurate messages, and timely return of calls as appropriate
  • Possesses a high degree of accountability
  • Exercises sound judgement in decision-making
  • Demonstrates a strong work ethic; is proactive and regularly takes initiative
  • Able to effectively prioritize work and multi-task efficiently to meet deadlines
  • Experience in identifying opportunities for process improvement; develops creative solutions to enhance the effectiveness of internal processes

  • Possesses solid supervisory skills
  • Excellent verbal and written communication skills
  • Possesses a high level of grammatical expertise, including an exemplary proofreading ability
  • Able to work flexible hours as needed
  • Strong MS Office skills, HR experience, and decent experience supporting a VP/C level executive
