Program Operations Assistant

A professional and friendly job-seeker is needed for a Contract Program Operations Assistant position in Philadelphia, PA! This temporary position offers $18 an hour.

Responsibilities of the Program Operations Assistant include:

  • Maintaining calendars for program team members on each of the grantmaking teams and providing scheduling support for the appropriate departments.
  • Providing administrative support, including answering and fielding phone calls, greeting visitors, distributing mail, filing, printing, desktop publishing, report formatting, etc.
  • Scheduling and coordinating travel and accommodations for local and remote meetings with internal and external organizations. 
  • Completing paperwork for expense reimbursements for designated staff.
  • Executing pre- and post-meeting logistics, including technology needs, catering orders, meal setup and cleanup, and re-setting rooms.
  • Supporting events/meeting including managing attendee lists, catering, A/V, travel, lodging, and general logistics.
  • Supporting the creation of quarterly board books and assisting with research, special projects, and presentations.
  • Entering/maintaining contact lists and accurate contact records in Microsoft excel and a customized Salesforce database.
  • Gathering data, making entries, and running requested reports in the database management system (Salesforce).
  • Providing administrative support to Finance and HR departments and performing other duties as assigned.

Requirements of the Operations Assistant:

  • At least 3 years of related support to executive-level personnel.

  • Excellent interpersonal, customer service, and communication skills

  • Strong organization, prioritization, time-management, and multitasking skills

  • Works well independently and in a team environment

  • Ability to maintain confidential information.

  • Computer savvy with proficiency in Microsoft Office (Outlook, Word, Excel PowerPoint) and capable of navigating the Internet for research 

  • Salesforce experience preferred

  • Proficient with using standard office equipment
